Purpose: The purpose of this policy is to organise and maintain Church’s vehicles
All the Church vehicles (passenger car, bus, trailer) are for the community benefit
Safety first procedures and steps should be followed (regarding people & vehicles)
Everyone within the community has equal opportunity to rent any of the Church’s vehicles
Vehicles renting price are to be less than the market value, as a contribution from the Church
Procedure:
– All vehicles are to be regularly maintained and well presented at all times
– Maintenance of the vehicles are the responsibility of the maintenance staff
– Before renting the vehicle the secretary must check that the renting person is holding a valid current driving licence
– A copy of the driving licence should be kept on record for 12 months
– The secretary staff must maintain the log book, and keep it up to date at all times
– The renting person must sign in the log book when receiving the vehicle, and ensure the ODO Meter reading, time of receiving, reason of rent and duration
– The log books must be kept for a period of 12 months
– Any damage in the vehicle is the responsibility of the renting person
– The maintenance staff must be present at time of receiving and returning of the vehicle for inspection
– The Church has the right to decline or accept any rent offer, ‘and giving reasons’
– Fines within the period of rent is the responsibility of the renting person and it is obligatory to be paid to the Church
